Finance & Operations Coordinator

Who We Are

At Timber Frame HQ, we're passionate about creating beautiful, functional timber frames that stand the test of time. Our fully remote team combines timeless craftsmanship with modern design tools to help clients bring their timber frame dreams to life. We believe in doing great work while having fun along the way.

The Role

We're looking for a Finance & Operations Coordinator to own the financial systems and operational processes that keep our business running. Start by mastering our processes, then grow into taking ownership of operational domains and proposing improvements as you demonstrate expertise. It requires a solid bookkeeping foundation and a desire to grow beyond pure accounting work into broader operational contribution. This position can be structured as part-time or full-time depending on mutual fit—we're focused on finding the right person.

What You'll Do

  • Financial Operations: Manage accounts receivable and payable across multiple platforms. Process monthly billing for custom design projects, tracking deposits, payments, expenses, and refunds. Handle payment processing for timber frame kits, including vendor payments and invoice management.
  • E-commerce & Website Management: Maintain pricing accuracy between accounting and website product listings. Add new products to the e-commerce platform. Handle inventory restocking and returns coordination, including vendor communication.
  • Customer Operations: Respond to support inquiries through our CRM. Support customer service operations when needed.
  • Process Documentation: Document procedures as you learn them. Build systematic approaches to recurring tasks.

What You'll Bring

  • Experience in Bookkeeping/Accounting: Minimum of 2 years with AR/AP management and a track record of accuracy and meticulousness in record-keeping.
  • Computer and Software Proficiency: Demonstrated mastery of accounting software and spreadsheet platforms.  Ability to pick up new skills without the technology aspect being a hurdle. People often come to you for help when they have computer issues.
  • Systems Thinking & Self-Direction: You see how processes connect across platforms, not just individual tasks. You manage your own work, ask smart questions, and don't need hand-holding. You come with solutions—not just problems. You're the kind of person who double-checks the double-check.
  • Growth Mindset: You want more responsibility, but understand it's earned through execution first. You're looking for a role that grows beyond pure accounting into broader operational contribution.
  • Passion and Positive Energy: You bring enthusiasm, creativity, and a collaborative spirit to every project and person you meet.
  • Bonus Points: E-commerce experience, CRM experience, or history with a timber framing/construction company.

Why Join Us?

  • Fully Remote: Work anywhere, flexible scheduling (expect to work a schedule similar to your supervisor during the first 3-6 months).
  • Competitive Pay: Compensation, benefits, and PTO scaled to hours and experience. Yearly bonus based on company revenue goals.
  • Benefits: For full-time employees, we provide a health care stipend, work space stipend, and 401(k) plan with 3% match.
  • Generous PTO: 20 days paid time off plus Christmas and Thanksgiving.
  • Great Culture: Small, specialized team focused achieving excellence. Transparent, collaborative environment with respect for expertise and professional growth.
